How to Prepare an MRO Procurement List
How should a maintenance team structure its MRO list so it can actually be sourced?
An MRO list becomes sourceable when each line carries an identifying reference — manufacturer part number, equipment model, or a specification with material and dimensions — plus quantity, unit and criticality. Lists described only by internal store names cannot be quoted. Structuring the list once, and reusing it, converts repeated emergency purchasing into a planned, consolidated supply programme.

Why MRO lists fail to be quoted
A typical list contains 200 lines described as "bearing, big pump" or "filter, generator". No supplier can price that. The fastest improvement is to add the equipment make and model to every line, even where the part number is unknown — the manufacturer can then identify the part.

Run MRO as a programme
Group the list into planned cycles — quarterly is common — and consolidate those cycles into single shipments. Keep a separate fast channel for genuine breakdowns so emergencies do not disturb the planned programme, and qualify a second source in advance for every critical item.
